As one of the most popular web and mobile team organization apps, Asana largely revolves around the concept of teams in every organization. Teams are subsets of members of an Asana organization. Each of the teams has its Members, projects, chats and calendars.

If you’re new to Asana, you probably want to know how to create a team. You probably have many other questions too. We hope this guide helps you.

How to create a team on a Windows PC, Mac, or Chromebook

First of all, there is no desktop app for Asana. This means there is no app/extension for Windows, Mac or Chromebook. Therefore, you will access Asana through the browser from whatever desktop/laptop platform you plan to use. Therefore, the method is identical in all three.

There are two ways to create a team in Asana: through the Admin Console and the Omnibutton.

Administration console

  1. Navigate to your Administration console in asana
  2. Click on the equipment entry, located in the sidebar on the left side of the browser

  4. In the pop-up window, add the team name and description.

Can you create teams on iOS and Android?

Asana is a web and mobile app: it has responsive apps on iOS and Android and is accessed through the browser on desktop and laptop devices. Unfortunately, as of now, there is no way to create a team using the iOS/Android app on your phone or tablet. However, there is a solution. This involves accessing your Asana organization using the browser on your tablet or mobile device and switching to desktop mode. This mode will display the desktop version of the website.

  1. Open Safari browser
  2. Select Request desktop website
  3. Repeat the steps to return to the mobile version,

Asana Tips for Teams

Now that you’ve successfully created one or more teams in Asana, you’re probably eager to get to work. On that note, here are some tips for Asana teams that will surely help you improve your organization skills.

Task nomenclature

As essential as it may seem, naming tasks is an often overlooked skill in team organization. Here are some tips to help you get started.

  1. Start with a verb (submit, consider, fix, implement, etc.)
  2. Use sentence case (do not capitalize the first letter of each word as in the title case), as this will make the tasks easier to read.
  3. Be concise: You are not writing an essay but assigning tasks, which are best kept short and to the point.

Turn off email notifications

You may think that email notifications are benefiting your team. After all, if they receive a notification, they will know when the changes are made. And like any other organization-based software, Asana will notify you of any changes that occur. Emails will start piling up and team members will start ignoring notifications.

Instead, encourage team members to turn off email notifications entirely. They will be encouraged to frequently visit the Asana planning board and actually stay more up to date with work.

Today, soon and after

In Asana, you organize your personal tasks into Today, Nextand Later liza. Use these lists as they will make things much more organized. Asana has even assigned shortcuts for assigning entries to each of the three lists. Select an entry and select Tab+Y, Tab+Ueither Tab+Lto assign tasks to Today, Nexteither Later

Use the mobile app

The Asana mobile app definitely doesn’t include all the features of Asana on the desktop browser, but the app is definitely useful. There are versions for iOS and Android. When you’re not at your desk, you can check the mobile app to quickly check everything, add tasks, add comments, etc.

Use projects sparingly

Organizing your work using the Projects feature in Asana is convenient, but if you start trying to find a perfect project for every task, you’ll end up frustrated and wasting time. Creating tasks, assigning them to people, and notifying team members are essential when it comes to organization.

Encourage your team to use Asana

Since you’ve already chosen to use Asana for team organization, you need to emphasize that. Now, new team members will not be very willing to use Asana and learn about it. They will treat it as something they must use. To get your team members using this organization software, encourage them to create tasks.

Instead of creating a task in Asana for your team members, contact them through the team communication platform or in person and ask them to create a task for you and assign it to you. This will help your team members learn how to use Asana and improve team synchronization.

Recurring tasks

In business, some tasks that need to be performed are unique. For example, “Purchase this software license.” However, some tasks are recurring, for example, “Hold a weekly meeting.” Instead of creating a task for each week’s stand-up that occurs on the same day and at the same time, you can create a recurring task that is automatically created each week. Recurring tasks can be set to repeat based on your needs and preferences.

The vacation indicator

To avoid confusion and organizational issues while you’re on vacation, your team members should know when you’re not available. If you set your vacation indicator to Far, your coworkers will be able to see it at all times, which can help them focus on assigning the task to someone else. Avoiding confusion is essential in organization and planning.

Mention Projects

Yes, you probably know that you can mention people using the @
sign and add the user’s name after. However, Asana also allows you to mention projects. This creates a link to the project you mentioned, which makes navigation much easier. To mention a project, simply type the first few letters after typing “@.”

How do I merge teams?

You might think that merging two teams is not a feature available in Asana. But the developers have thought of this, allowing you to manage two teams together effortlessly. Simply go to the task you want to move, right-click on it, and select Move to another computer. Choose the computer you want to move the task to and that’s it.

How many teams can you have in Asana?

You can have as many teams per organization in Asana as you want. However, the free version of Asana only allows 15 members per organization. This limitation is something worth keeping in mind if you don’t want to pay for an organizing platform.

How many projects can you have in Asana?

There is no limit to the number of projects you can complete in a single Asana organization. However, if the number of active projects reaches hundreds, you can expect performance issues. Additionally, a large number of projects can be very confusing.

Does Asana cost money?

There is a free version of Asana, as mentioned above. However, the 15-person limit may be problematic at some point. The Premium version of Asana will cost you $10.99 per month if you choose to be billed annually. If you choose monthly billing, Asana Premium costs $13.49 per month. The Asana Business plan costs $24.99 per month if paid annually and $30.49 if paid monthly. Finally, there’s the Enterprise plan, but you’ll need to contact Asana for pricing quotes.
